Frequently Asked Volunteering Questions

 

Where can I look to see if my hours are in?

Click here for a report of hours by family, sorted by Age Group and Team.

If I have 2 kids, do I have to volunteer separately for each team?
No - the volunteer commitment is per family. Select your volunteer commitment, and report it to each team's Team Volunteer Coordinator. And thank you!
But why do my hours show up only for ONE of my kids?
Well, you must have logged them that way. If you really want to show hours for each team, you have to do the survey twice and put half the hours for each team. But it's not needed; just tell the other team's volunteer coordinator that your hours are under Team X and you are done.

I'm a Team Volunteer Coordinator. Is there a way I can check my team's volunteer record on line?

Yes, but you may have to do a little hunting.

1) Grab your Team Volunteer Roster

2) Mark off the "Big 7" jobs

3) Look at the Reported Hours List - find your team name and note on your roster parents who have reported hours (at least 4 hours)

4) Anyone missing hours? Look for them by name in the Reported Hours list. (They may have reported their hours to a different team if they have multiple kids.)

5) Still not listed? If you have already encouraged everyone to help us out, then rest easy. You don't have to police your team.

6) If the parents still want to help? Point them toward the Help Wanteds

 

Who has to log their volunteer hours?

Everyone EXCEPT  the "Magnificent 7", who are:

  1. Head Coach
  2. Active Assistant Coach
  3. Referee
  4. Team Volunteer Coordinator
  5. Team Manager
  6. Fields Representative
  7. PCA Coordinator

Everyone else log your hours here, please!

What counts towards Club-level volunteer hours?

What does not count towards Club-level volunteer hours?

Organizing snacks, bringing snacks, organizing your team’s photo shoot on Picture Day, individual team fundraising, organizing team trophies, and other tasks directly for your child’s team besides the jobs listed below (coach, assistant coach, team manager, team volunteer coordinator, referee, PCA coordinator). 

If I have 2 kids and coach one of them, do I have to volunteer separately for my other kid's team?
No - the volunteer commitment is per family. You've done your part.  (And thank you!)

 

My child is a Youth Ref - does that fulfill my Club responsibility?
If he or she refs 6 games and logs his or her hours - YES!
I volunteer for the League (JLYSSL) - does that fulfill my Club responsibility?
If you are performing a league-level function like Treasurer or League Match Secretary, then yes. However, coaching for a different JLYSSL club (Rockridge, Oakland etc.) does not fulfill your responsibility to MSC.
I worked Registration night in the spring. Am I done?
If you worked Sweatshirt Sales, then no. Those shifts were only a few hours. Please attend a Board Meeting or work another event to finish up!
If you worked Registration, then yes.  Registration is always a rush job to get organized and is close to 6 hours counting setup/cleanup, so you receive full volunteer credit for this activity.  Please remember to LOG YOUR HOURS using the "Report Your Volunteer Hours" survey found here.

 

Can my parents volunteer for Picture Day, the JLYSSL Tournament or the Annual Dinner?
These events have been designated to be worked by specific age groups as follows:

 

Picture Day: Under-8s

JLYSSL Tourney: Under 10-14 (the age groups that get to play in it)

Annual Dinner: Under-10 families.

 

If your team is not Under 8 or Under 10-Under 14, please ask your parents to attend Board meetings, help the Volunteer Coordinator with a few tasks, work Registration, work PCA events, (etc. etc. etc.) or sign up for one of the many U6-specific roles that are out there!

What can I sign up for NOW (fall 2008)?

Not registration; that's behind us. 

 

Fields help, Volunteer Committee,  Event Aide or other Event position (events happen throughout the autumn) and easiest of all - attending several Board Meetings!

 

If your child is U6, look at the open positions for the U6 program.

If your child is U8, look at the open positions for the U8 program.

If your child is Clippers, look at the open positions for the Clippers Program.

 

If your child is U8, you can work Picture Day.

If your child is U10-U14, you can work the Tournament.

If your child is U10, you can work the Annual Dinner.

 

    THERE IS PLENTY TO DO!

 

I'm a coach (or Team Volunteer Coordinator) and I need help filling out our volunteer roster to get a practice field!

OK! For each family on your list, enter a firm commitment of what volunteer activity that parent/guardian will undertake.  Here's what each age group needs.

 

Roster      Key Positions    Other Volunteers Needed

U6:     10         7                      3 (registration, fields, events, Board mtgs etc.)  

U8:     10-12   7                      3-5

U10:   12         7                      5 

U12:   15         7                      8 

U14:   16         7                      9 

U16+:18         7                     11

 

"Key positions" are Head Coach; Active Assistant Coach; Referee; Team Manager; Team Volunteer Coordinator;  Field Volunteer;  and PCA Coordinator.

So  fill out that spreadsheet with your 7 "key position" assignments and whatever else parents have stated they will perform. When it's complete, send it to the volunteers@montclairsoccer.org, who will update the list to let the Practice Fields Coordinator know that you are ready for field assignment.
