Volunteers - Photo Day Volunteer Organizer

The Photo Day Volunteer Organizer helps make Photo Day happen with onsite volunteers.

 

Responsibilities

  • Preparation - Readying teams for their photo ops
  • Forms - Helping parents complete orders
  • Monitoring - Keeping the flow of teams and players moving
  • Traffic Safety - Keeping traffic moving and parents getting in/out of parking as needed

 

Time Commitment

6-8 hours per Photo Day

 

Required Experience

Just basic organization.

 

Schedule

During the 2-3 weeks preceding Photo Day

 

Location

Creating the schedules and scheduling volunteers all happens ahead of time via email and phone.

 

Minimum Term

At least 2 years.


 

Detailed Instructions

  1. Work with Photo Day Organizer to find out how many teams there will be.
  2. Based on numbers, decide how many helpers and how long the shifts should be.
  3. Acquire names & email addresses of those who chose "Photo Day" as their volunteer preference from Volunteer Coordinator or Registrar.
  4. Plan to be at Photo Day before the first shift so you can train the volunteers & have them train their replacements.
  5. Consult with photographer and assistants to establish rules for the Entrance Monitor volunteer.
  6. Make arrangements for all volunteers to provide feedback on how things went so you can tune up the process the following year, and update the Photo Day Volunteer page with any changes.
