The duties and responsibilities of the Montclair Soccer Club President are described below. This is subject to change with each new President, who may bring their own unique perspective to this role. This document may be most useful to an incoming President who needs to understand the shoes he or she is filling.

 

Responsibilities

  • Promote and foster an environment of collaboration among club members.
  • Acts at all times for the good of the club and its member to assure both short and long term success.
  • Represent the club to players and their families and to the general public.
  • Respond to questions from club members.
  • Monthly meetings (second Monday of each month):
    • Solicit agenda items (msc-cabinet@montclairsoccer.org)
    • Create and email agenda prior to meeting
    • Lead monthly meeting
    • Follow-up with Secretary for minutes distribution
  • Attend JLYSSL monthly meetings when necessary (first Monday of each month)
  • Write Newsletter monthly message
  • Solicit newsletter content, encourage article submission
  • Member of Disciplinary Committee
  • Keeper of contracts
  • Head committee for annual volunteer/coaching awards
  • Roy Gorman Memorial Cup

Required Experience

Being on the Board of Directors for at least a year is valueable experience.

Schedule

Certain times of the year are more busy than others. The Summer can be slow, but towards the end there is usually a flury of activity.

Minimum Term

Ideally, two years.

Below are details on various aspects of this position.

 

Leadership

Quite a bit of this position involves soliciting for, and sharing of, opinions. The President may be frequently consulted by other key volunteers for direction or opinions on specific projects or isses.

Annual Volunteer Awards

The December monthly meeting is replaced with the Volunteer Appreciation Dinner. Traditionally, the President presents the volunteer awards. Look here for more information about these awards. Check the dinner RSVP list to make sure that all the awards reciepients will be there. Consider contacting those that have not RSVP'd and encouraging them to attend. When it comes time to present the awards, things go much more smoothly if you know who is or isn't present. The President does not need to present all of the awards. For example, the Referee Coordinator might be the best candidate for presenting the referee award.

 

At the November monthly meeting, the President forms an awards committee. It really helps if at least one person on this committee also served the previous year. Traditionally, this committee meets in the bar at Crogan's with the President expensing the tab. Some creativity is required when someone on the committee is also a recipient. Input for the coaching awards comes from the nominations and recommendations in the coaching surveys. These surveys need to be distributed in early November so that their results are ready when determining awards. The committee may solicit others for input on specific awards. For example, it is usually left up to the referee coordinator to determine who should get the referee-related awards. The Clippers coordinator should be relied upon for determining the Class 3-related awards.

 

There's a Google spreadsheet that lists all of the award winners going back to 2003. This is a great reference for the committee. It should be updated with each year's recipients. That way, it can be printed and used when ordering plaques. Some of the awards are "rotating". By examining this spreadsheet, you can see that the number of award categories tends to increase each year. This is left up to the awards committee.

 

The President does not need to order the awards. Anyone can do it, but the ideal candidate will be one not already receiving an award. Tony Plotkin ordered them in 2006, Peter Costantinidis (President) ordered them in 2007. The 2006 and 2007 awards were ordered from:

Golden State Awards has our "soccer ball getting kicked" logo on file. The order needs to be placed at least a week before we need them. Ordering them the week of Thanksgiving seems to work well. In 2007, we presented a special award to our treasurer, Steve Depetris. This an engraved crystal vase was ordered online from eclipseawards.com by Kimberly Guillen.

 

League Director

The President may or may not serve as the MSC Designated Director. The MSC Designated Director attends the monthly JLYSSL meeting and is a voting member of that board. There are specific JLYSSL positions that are only voted on by the Designated Directors from each club.

 

Monthly Meetings

Here's some advice for the monthly meetings...

Monthly meetings are held the second Monday of each month. Cancellations are very rare. Every once in a while, they are moved to accomodate holidays. Announce any such changes in the monthly newsletter. The December "meeting" is the Annual Volunteer Awards dinner.

 

One week before the meeting, send out a request for agenda items to msc-cabinet@montclairsoccer.org. Specify an agenda deadline of the Friday before the meeting. JLYSSL holds their monthly meetings on the first Monday. There are often agenda items that result from the JLYSSL meeting. Create an "empty" agenda and then add items to it as they are submitted. Use the previous month's agenda as your template. Try to limit reports to a specific amount of time and include the time allocations in the agenda. The following reports are usually made at each meeting:

  • Treasurer's

  • JLYSSL

  • Fields

Other reports are common during different times of the year. Those making the reports should ask that they be included in the agenda.

 

On the Friday before the meeting, send out the current agenda as a reminder to the folks that are late in submitting their items. Sometime that weekend, email the final agenda.

 

After the meeting, remind the secretary to email the minutes.

 

Most of the 2007-2008 agendas are in the montclairsoccer Google account. Peter Costantinidis used Google Docs for editing the agendas. This makes it convenient to work on them from any computer with an internet connection.

 

Roy Gorman Memorial Cup

The Roy Gorman Memorial Cup is a special trophy presented to the girls or boys Gold Flight winner of the JLYSSL End-of-Season Class 4 Tournament (usually the weekend before Thanksgiving). Someone from MSC needs to present the trophy at the winner-determining Gold Flight game. The winning team hangs on to the trophy until the next season. The trophy should be collected from the previous year's winner at the beginning of the Fall season.

 

This responsibility can be delegated.

 

Stationary

The President is the keeper of the MSC letterhead stationary. This is used when sending thank-you letters or letters of acknowledgement. For example, when the unclaimed awards of the previous years were mailed to their recepients in 2007, a thank-you letter printed on this stationary was included. It is a nice touch. The Registrar and Treasurer usually keep some on hand as well.
